Administration Functions Overview

Description

This function is used to enter and maintain information pertaining to the standard Letters and Correspondence that are utilized within the CRC system. Before a piece of correspondence can be selected and submitted to a Customer's mail queue, it MUSThave a corresponding record in the Letters table. The Letters record contains the base text that will appear in the Customer correspondence.

The Letters and Forms function is used to maintain the following information for each type of Loan/Receivable that is used within the CRC system:

When the function is selected, the Letters and Forms List screen is displayed as follows:

Add, Edit or Delete Letter

·        To Add a new Letter, click the Add icon located in the Letters and Forms List Function Bar. When this icon is clicked, Letters and Forms screen is opened.

·        To Edit or Delete a Collection Queue, click on the magnifying glass icon and the Letters and Forms screen will be displayed.

Description

Letter Type

Select from the drop-down list: 

(L) Letter:  Blank page; Add text and tags (including date and address tags)

(H) Headerless Correspondence:  Blank page, add all text and tags (including date and address tags)

(A) Archived:  Blank page; Add all text and tags (including date and address tags)

(1) 1098-E Form:  Restricted for IRS Form ONLY

(F) Form w/ Address Header:  Prints Date, Institution and Customer Addresses; Add text and tags

(B) Boilerplate:  Prints Invoice & Statement; Add message text

(T) Truth in Lending:  System defined TINL schedule and format;  Add text ONLY; Do Not Use tags.

Form ID

Provide a 4-character code to represent the Letter Description

Description

This value is displayed in the Mail Type selection box that is used in the Customer Services Create Mail function.

Created Date

This is the date the letter was added to the system.

Created By

This is the date the letter was added to the system.

Revised Date

This is the date the letter was last revised or updated.

Revised By

This is the CRC user ID of the person/process who last revised or updated the letter.

Customer May Print

Pertains to Customer Web Access.  Establishes if the letter should be available for view/print on the Customer’s web account.
