Administration Functions Overview

Description

This screen is displayed when clicking on the Add Records in the Apply Customer and Account Records screen. This function is used to manually create Customer and Account records for an existing file. The user can add a new Customer and associated Account, add a Account for an existing Customer, or modify Customer address information.

To create a new batch file, the user can perform the Create a New Customer and Account Batch file function.

Data Entry

To add a Loan/Receivable to an existing Customer, the user can search for the existing Customer using the Social Security Number, Customer ID, Last Name and First Name fields and then click on the Find button. Once the existing Customer is found, the Loan/Receivable information needs to be added and then click on the Save icon in the function bar.

 

To add a Loan/Receivable to a new Customer, the user has to complete all the required fields below for the Customer and Loan/Receivable and then click on the Save icon in the function bar.

If present or changed, will be used to add a record in Customer Address but will not move the flag for use as default address.

If present or changed, will be used to add a record in Customer Address but will not move the flag for use as default address.

City

If present or changed, will be used to add a record in Customer Address but will not move the flag for use as default address.

State

Must match a valid state code If present or changed, will be used to add a record in Customer Address but will not move the flag for use as default address.

Zip

Format is "nnnnn-nnnn". If present or changed, will be used to add a record in Customer Address but will not move the flag for use as default address.

Country

If present or changed, will be used to add a record in Customer Address but will not move the flag for use as default address.

Addr Description

User-defined for reference only.

Day Phone

If present, will be used to update the value currently in Customer Address record.

Ext

If present, will be used to update the value currently in Customer Address record.

Eve Phone

If present, will be used to update the value currently in Customer Address record.

Ext

If present, will be used to update the value currently in Customer Address record.

Est. Grad Date

If entered, value must have a format of "YYYYMMDD".

DOB

If entered, value must have a format of "YYYYMMDD".

Loan/Receivable INFORMATION

 

*Transaction Date

Format is "YYYYMMDD".

*Loan/Receivable Name

This is one of the keys used to determine if this record represents a new Loan/Receivable or a subsequent disbursement for an existing Loan/Receivable.

*Term Begin

Format is “YYYYMMDD”.  Date represents the begin of term/semester applicable to the Loan/Receivable.

Academic Level

 

Bursar Loan/Receivable Number

 

Past Due Date

Format is "YYYYMMDD". Used to age an Loan/Receivable if past due at origination.

*Amount of Loan/Receivable

9 decimal characters with 2 characters to the right of the implied decimal point (positions 33 and 34); right justified. Ex: $2450.50 would be entered as 245050

Term

Format is "YYYYMM".

*Term End

Format is “YYYYMMDD”.  Date represents the end of term/semester applicable to the Loan/Receivable.

Prom Note

 

Late Charge Amount

Used to assess an upfront charge at origination.
